Manager

Purpose of job
Reporting to the Country Manager, he/she will support CM in-country team in managing the office and the CM schedule, planning and organising a variety of activities
Key Roles and Accountability
- Manage inwards and outwards travel of company staff and contractors, including
airport pick up and drop off
- Liaise with hotels and company residence and manage visitors and staff
accommodation
- Liaise with travel agents and car rentals for all necessary bookings and travel
arrangements
- Responsible for calendar management, requiring interaction with both internal and
external executives and assistants, as well as consultants, to coordinate a variety
of executive meetings
- Attend meetings and take minutes when necessary
- Supervise translation of documents – English / French and vice versa
- Answer phones and direct all incoming calls to appropriate party promptly and
efficiently
- Communicate and handle incoming and outgoing electronic communications on
behalf of the CM
- Prioritize and manage multiple projects simultaneously, and follow through on issues
in a timely manner
- Review and summarize miscellaneous reports and documents; prepare background
documents and outgoing mail as necessary
Key Qualifications
- Bi-lingual French and English essential; in the case of equal skill sets for the job, Cameroonian candidates will be given preference.
- Bachelor Degree in Language, Administration or equivalent secretarial professional studies
- 5+ years experience supporting at the executive level and ability to work independently with little or no supervision
- Experience in handling a wide range of administrative and executive support related tasks as well as scheduling travel arrangements for management team
- Very well organized, flexible and enjoying administrative challenges of supporting an office of diverse people and programs
- Ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient
- High level of professionalism and confidentiality is crucial to this role
- Expert level written and verbal communication skills, strong decision making ability and attention to details
- Excellent calendar management skills, including the coordination of complex executive meetings
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
